Why does an IP gets blacklisted?
Most of the time such an issue happens, when any of your email users sent spam email(s) from the server.
How to prevent it?
You shall follow the given steps mentioned at https://billing.webji.in/knowledgebase/4890/Best-steps-to-follow-to-ensure-better-email-security.html
How to know which user is spamming?
If there is any ongoing running high volume spam then only we can share such information otherwise there is a fee required to be paid off system admin time if the detailed investigation of logs is required.
It is not mandatory that users have to send 100s of spam messages to get blacklisted in any specific RBL. Even 1 single email if reported by the user as spam to a specific RBL for anti-spam reporting, might result in blocked IP to that specific RBL.
So it is not mandatory that a user's email id is compromised only then spam issue will happen. Also when the issue is related to any previous spam then the logs might be thousands or millions of lines of logs, checking in that required dedicated admin hrs thus fee is required to be paid if any such detailed log investigation is required.
https://billing.webji.in/knowledgebase/4890/Best-steps-to-follow-to-ensure-better-email-security.html follow these steps for every single mail user recommended every few months basis to be safe side.
So my server is listed in an AntiSpam Index does that mean I will be not able to send emails to anyone on the internet?
No, its a myth. If your IP is blacklisted in one RBL that means only email servers that use that specific RBL will not accept your emails until the delisting of IP from that specific blacklist is done. So any other email ids which are not using that specific RBL will still be able to receive your emails. The important thing is not every single mail server uses the same RBL as they are many of them.
My server is listed in one RBL does that mean it will be blacklisted on others too?
No, it's a myth. Only a very few RBL have interconnection of database thus if you are listed in only 1 RBL that is not a severe case. But if there is blacklisting on multiple leading RBLs then it might be a case which needs to be taken care in more details.
How to have such issues be resolved faster?
There is no such option of faster solving such issue as if any antispam index blacklists your IP they take their own time to delist and respond to our request. They are 3rd party companies or service providers and no web hosting company can order them to delist faster. Generally, once delist requests are sent to the AntiSpam index most of the time they respond or delist it in 48-72 hrs.
What other options do I have?
If you have a private vps or dedicated server you can contact us in reply email if you want to order new IP. There is no guarantee that the new IP will be 100% clean history as there is a shortage of IPv4 IP Address online and every web hosting company have to reuse IPs as there are no 100% fresh clean IPs online. The situation remains the same with any web hosting company. Still, if you have a dedicated server or vps can contact our team if additional IP is possible however any charges for the same are required to be paid separately.
Thus the best and ideal solution is to
1. Stop the ongoing spamming
2. If no specific user is found spamming then the best option is to follow the given email security steps at https://billing.webji.in/knowledgebase/4890/Best-steps-to-follow-to-ensure-better-email-security.html for each and every single email id on your server for safety measures.
3. Once made sure spamming is no more than to send a delisting requests to the required antispam index and wait for Ip to get removed from their spam blacklist records which generally takes 24-48 hrs.
Why this long email reply?
In the technical world, we are trying our level best to make you understand what we can do as a service provider and what we cant do or own in our hands. So that you can have a clear understanding of the case and can understand that in spamming IP blacklisting cases your service provider doesn't own the 3rd party antispam index or can order them. No matter which web hosting company you use situation remains the same as there are internet protocols to be followed shared above for antispam procedures.
If the server is having more than one IP on it then we can also change the IP to another IP on your server, or you can order additional IP if you have a vps or dedicated server as addon IP address with us. However, in some rare cases, you can now have a new set of issues if this 2nd IP used is blacklisted anywhere. Ultimately that is why we said delisting takes time and we shall wait for that as a solution. There is no magic for dealing with the antispam index no matter which web hosting company you use. Until you are having 100s of paid dedicated Ip purchased for your server. Still, you can burn them all by blacklisting those 100s of IPs too thus procedures remain the same and are to be followed.
